This Privacy Statement applies to the Geological Society of Norway (NGF), and explains why we collect information about you, how we use this information and how we consider your privacy.
NGF, by the secretary general, is the controller for the processing of personal data by the society. The declaration contains information that you are entitled to when collecting information from our websites (Personal Information Act, section 19) and general information on how we treat personal data (Personal Information Act section 18, 1st paragraph).
NGF's basis for processing personal data will vary, but according to section 8 (a) and (d) of the Personal Data Act, it will consist of the consent of the data subject or because it is required by law. Furthermore, it may be necessary to process personal data to perform tasks of general interest such as research or statistics.
2) About personal data and regulations
Personal information, information and assessments that can be linked to an identifiable individual. This may be, for example, name, address, phone number, email address, date of birth or member history.
All processing of personal data, such as registration, storage and extradition is subject to separate rules, including the Personal Information Act. It is the secretary general who is responsible for the treatment in accordance with the law's rules. The Norwegian Data Protection Authority supervises compliance with the law.
3) What kind of information do we collect?
To be able to deliver as good services as possible, we rely on collecting various types of information, including personal information about you. Below is an overview of how we collect the personal information and what information this is. We do not collect sensitive information.
a) Information you provide to us
When you register on our website, you must provide some information that will be stored by us, such as name, address, email address, mobile number, trade interest, date of birth and registration date. We will also store information when you contact us regarding your membership.
b) Information we receive through the use of our services
When using our services, we record information about which services/products you have. This applies to information given to us at registration to conferences and purchases of books through our online store.
4) What is the information used for?
We use personal information to develop the best possible member organization for you. The information is used to handle your membership rights in accordance with NGF's statues around for example the general assembly, but also so that you can fulfill your obligations as a member by paying the membership-fee. We need personal information about trade conditions to be able to organize relevant conferences, social events and activities of interest. We will be able to send relevant information about conferences and member information through newsletters.
5) Sharing of information
We do not share personal information with other companies.
The exception is GeoPublishing, which receives a mailing list for those who receive Geo magazine.
Members will be contacted if there is a need to share information with future partners.
6) Transfer of personal data to foreign countries
Your personal information will not be transferred abroad.
7) Managing personal information
You can influence what personal information we will have about you and how to use them. You can do this by contacting us at ngf]at]geologi.no.
If you notice errors in the information we have about you, please contact us so that we can correct this.
You are entitled to request access to personal data in accordance with section 18 of the Personal Data Act and GDPR art. 15.
You also have the right to restrict treatment in certain cases according to GDPR Art 18.

8) Deletion of personal data
You can demand us to delete all our information about you, as long as we are not required to store these. You can contact us regarding this by e-mail to ngf[at]geologi.no
* We reserve the right to refuse deletion if you are listed as an active member or contact person for one of our partners.
** We reserve the right to refuse deletion if you have traded with us as an individual less than 5 years ago, counted after the end of the fiscal year - for accounting purposes.
9) Securing personal data
We use appropriate security measures to protect personal information under our control against unauthorized access, retrieval, use, disclosure, disclosure, copying, modification or disposal. We use SSL security certificates on our website and service web so data and information are encrypted.
We have made a data processing agreement with Team Data System AS, which supplies the Focus membership system that we use.
10) Particularly about marketing in email, mail and social media
If you have active membership with us, we may send you marketing by e-mail or other electronic communication methods in accordance with section 15 of the Marketing Act. This includes newsletters and other inquiries regarding conferences, new releases of NJG, and any new books from us, via email, mail / letter and social media.
If you do not have active membership, we will only send such marketing if you have given us consent. Your personal data can also be used to customize this communication. You can sign up for marketing requests at any time by e-mail to ngf[at]geologi.no.
11) Changes to the Privacy Statement
We may update or change the privacy statement. In case of major changes, we will inform you about this.
12) Right to complain
You have the right to appeal to a supervisory authority, the Norwegian Data Protection Authority, according to GDPR Article 13 (2) letter d.
